This Privacy Policy explains how ProfileWave ("ProfileWave," "we," "us") handles personal data in connection with our website and our buying-intent research and contact-enrichment service (the "Service"). It covers two different groups of people: customers who use the Service, and the business contacts whose information the Service surfaces on a customer's behalf.
1. Information we collect
From customers. When you contact us, book a call, or use the Service, we may collect your name, work email, company, phone number, and any information you share with us directly.
About business contacts. To deliver the Service, we research and compile publicly available and commercially sourced information about companies and the individuals who work at them — for example, name, job title, employer, professional email, business phone number, and publicly reported signals such as hiring activity, funding events, and technology usage. We do not knowingly collect sensitive personal data (such as health, financial account, or government ID information) as part of this process.
From this website. The site uses Google Analytics and a cookieless analytics tool (Umami) to see aggregate traffic patterns, and does not use advertising cookies or share this data for ad targeting. See our Cookie Policy for details, including how to opt out.
2. How we use information
- To research, verify, and deliver enriched lists and intent signals to customers who commission that work;
- To validate contact details (for example, checking that an email address is deliverable) before delivery;
- To communicate with customers about their engagement with us;
- To improve the accuracy and coverage of our research process;
- To meet legal, security, and fraud-prevention obligations.
3. Our legal basis for processing business-contact data
Where GDPR or similar law applies, we rely on legitimate interests — ours and our customers' — in business-to-business marketing and sales research, balanced against the individual's rights and expectations given the professional, public nature of the information involved. We do not sell data about individuals to data brokers, and we do not use it for anything unrelated to the B2B research our customers commission.
4. Sources
We compile information from publicly accessible sources (company websites, news, job postings, filings, and similar), from data providers we contract with, and, where a customer brings their own list, from the customer directly. We attach the source and date to each signal we surface so it can be verified rather than taken on faith.
5. Sharing and disclosure
We share information with: the customer who commissioned the research; service providers who help us verify emails, host infrastructure, or process payments, under contractual confidentiality obligations; and authorities where required by law. We do not sell personal data.
6. Data retention
We retain customer account information for as long as needed to provide the Service and meet legal obligations. Enriched business-contact data is retained only as long as reasonably necessary to deliver and support a given engagement, after which it is deleted or de-identified unless a customer has an active, ongoing engagement that requires it.
7. Your rights
If you are a customer, you can request access to, correction of, or deletion of your account information at any time.
If you are a business contact who was included in research we performed for a customer — for example, because your professional details appeared in a list we enriched — you can ask us to tell you what we hold about you, correct it, or remove you from our records, subject to any conflicting legal or contractual obligation. Contact us using the details below and we will respond within a reasonable time.
8. Security
We use reasonable administrative, technical, and physical safeguards designed to protect data against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. International transfers
We may process and store data in countries other than where you or the business contact is located. Where required, we use appropriate safeguards for such transfers.
10. Children
The Service is intended for business use and is not directed at children. We do not knowingly collect personal data from children.
11. Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
